By registering for and attending any PAEA event, you agree that your image may be used at any time, without further notification, for printed materials, websites, social media, and other marketing purposes.
For virtual events, you may choose to participate in the event visually or with audio only. If you participate visually, your image will be received by and available to all participants, and you are agreeing that your image may be used at any time, without further notification, in PAEA printed materials, websites, social media, and for other marketing purposes.
PAEA is dedicated to providing a positive, harassment-free Event experience for all participants and staff, regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, race, age or religion. Attendees are expected to support a robust, inclusive, professional and polite learning environment at the Event, and otherwise engage in the Event with appropriate decorum both in-person and as permitted within the virtual platform. PAEA and its designees may, in their sole discretion, remove Attendees who display a lack of appropriate decorum or engage in disruptive, non-inclusive, rude or unprofessional behavior during the Event, and no refund will be provided if such removal occurs. PAEA does not tolerate harassment in any form. The use of harassing language and imagery (including that of a sexualized nature) is not appropriate at any PAEA event or related social activity sponsored or organized by the PAEA. Any Event participant found to be violating this policy may be sanctioned or removed from the Event without a refund at PAEA’s sole discretion. If you are being harassed, notice that someone else is being harassed, or have any other concerns, please immediately notify a PAEA staff member. Event staff will be wearing PAEA name badges. In addition to complying with the rules set forth in this paragraph, all Event participants must abide by the Code of Conduct provided below. Violations of the Code of Conduct directed at or having an impact on another attendee or person at the Event will be considered a violation of both the Code of Conduct and the Anti-Harassment Policy.
The Code of Conduct outlines PAEA’s expectations for You and all attendees who attend or access the Event and for those who utilize the Event Platform to post Content or interact with other Event attendees through any channel in connection with the Event. PAEA enforces this Code of Conduct and expects Your cooperation to help promote a safe environment and a productive Event experience for everyone. PAEA may remove any person from the Event who, in PAEA’s sole discretion, violates the Code of Conduct from the Event, without any refund or other compensation.
When participating in the Event, messaging or communicating in person and via the Event Platform, or otherwise engaging with the Event, including interactions with other people participating in the Event in person, including at social events that do not include the presentation of substantive education content, in-person or through the Event Platform or social media platforms, please:
- Maintain a respectful, considerate, and courteous attitude towards everyone You engage with;
- Adhere to the PAEA Antitrust Policy found within the PAEA Policies and Procedures Manual
- Make Your messages and invitations useful, informative and relevant to the Event;
- Do not demean, discriminate, abuse, harass, or threaten any individual or group;
- Do not disrupt speakers or panelists while they are presenting, speaking or responding to questions;
- Do not use foul language;
- Do not make racist, sexist, ableist or other exclusionary statements or jokes;
- Do not spam Event participants;
- Do not post content that is obscene or otherwise objectionable;
- Do not post content or message of a political nature;
- Do not use the Event for commercial or advertising purposes, unless you are a Sponsor and are using specific resources made available to Sponsors; and
- Do not post or distribute copyrighted content without permission from the owner.
In addition to all other prohibitions set out in the Terms, You are prohibited from the following conduct in connection with the Event and Your use of the Event Platform:
- Violating any applicable laws, statutes, ordinances or regulations;
- Promoting or providing information about illegal activities, promoting physical harm or injury against any group or individual, or promoting any illegal acts;
- Uploading or transmitting any computer viruses, macro viruses, Trojan horses, worms or any other harmful activity;
- Overriding any security feature of the application or jeopardizing the security of Your account or someone else’s account (such as allowing someone else to log in to the Event Platform or use the Service as You);
- Modifying, creating derivative works or copying or storing any significant portion of the Event Platform or any related technology or content contained within the application (unless allowed by law or expressly authorized by PAEA);
- Using filming equipment or other devices to record any part of the Event; or
- Using the Event Platform (or any part of it) in a manner which may result in: (i) sharing any material which is unlawful, libelous, abusive, obscene, pornographic, discriminatory, harmful, fraudulent, deceptive, threatening, abusive, harassing, tortious, defamatory, vulgar invasive of another’s privacy, hateful or otherwise objectionable, defamatory, offensive, or of an obscene or menacing character, or that may cause annoyance, inconvenience or needless anxiety; or (ii) violating or infringing the rights of any person, firm or company (including, but not limited to, intellectual property rights, confidentiality and/ or privacy).
PAEA reserves the right to terminate or restrict your participation in the Event if you violate these Terms or are engaged in illegal or fraudulent use.
Payment Options and Policies
You may choose to pay by credit card or check.
If paying by check:
- The check must be received no later than 30 days prior to the event’s start date.
- If the check payment is not received 30 days prior to the event’s start date, the registration will be cancelled.
For in-person events: Registrations made within 45 days of the event’s start date must be paid by credit card.
During registration, you may elect to receive an invoice for your order.

Check payments for in-person event registration fees must be received no later than 30 days prior to the event’s start date. If the check payment is not received 30 days prior to the event’s start date, the registration will be cancelled.

Substitution, Change, Cancellation, and Refund Policies
We understand that there may be circumstances that require you to change your plans. If this happens, here’s what you need to know:
Up until the last day to register, you may designate a colleague from your same Member Program to receive your registration if you cannot attend your event(s).
Using the confirmation number you received via email, you can either click the manage registration link or go to the registration portal and click on “Already registered?” under the “Register Now” button. Then from the navigation bar, go to My Registration and click on “Transfer” and proceed.
Fees: There is no additional fee to substitute a registrant.
Requests for substitution of a registered Event attendee (the “Original Registrant”) with an alternative person from your organization (the “Substitute Registrant”) must be initiated through the registration platform by the applicable deadline. Requests are approved or denied by PAEA in its sole discretion. Requests must include (i) the Original Registrant’s full name and registration number, (ii) documentation evidencing the Original Registrant’s permission to substitute the Substitute Registrant, and (iii) the name of the Substitute Registrant. The cost of substituting the Original Registrant varies based on the registration status of the Original Registrant. Any balance due will automatically be transferred to the Substitute Registrant. Once a badge (smartcard or digital) has been issued, no substitutions are permitted.
Up until the last day to register, you may change your registration.
Using the confirmation number you received via email, you can either click the manage registration link or go to the registration portal and click on “Already registered?” under the “Register Now” button. Then from the navigation bar, go to My Registration and click on “Change” and proceed.
Fees: A 10% change fee applies. Any balance due (by adding an item to your existing order or changing to an item with a higher price point) must be paid by the payment deadline. Any partial refund owed to you (by cancelling a portion of your order) will be processed within 30 days of your new registration.
Up until the last day to register, you may cancel your registration. No refunds will be issued for any reason for cancellations received after the cancellation deadline.
Using the confirmation number you received via email, you can either click the manage registration link or go to the registration portal and click on “Already registered?” under the “Register Now” button. Then, from the navigation bar, go to My Registration and click on “Cancel” and proceed.
Fees: A 10% administrative fee will be deducted from the eligible refund amount.
You may cancel your registration and PAEA will provide a refund of 90% of the registration fee, less a 10% administrative processing fee, if you initiate a cancellation through the registration platform by the applicable deadline. You may not cancel your registration or request a refund after the applicable deadline. You are also solely responsible for cancellation of travel and hotel reservations (including any associated cancellation charges).
PAEA reserves the right to cancel Your registration without notice if payment as required by these Terms is not received by PAEA by the due date, You fail to provide all information required in the relevant registration form, or You are in violation of these Terms or any other applicable terms and conditions. You agree that PAEA will not provide a refund and is not responsible for any damages, direct or indirect, resulting from any such cancellations.
If PAEA cancels the Event, and You are a registered attendee who has paid Your Event registration fees in full, Your sole and exclusive remedy (whether under tort, contract, or otherwise), will be a refund of Your registration fee to the original method of payment. You are liable for the cost of any foreign exchange, return or other bank fees arising out of the refund of Your registration fee.
If the Event is postponed, PAEA will provide You with a substitute registration for the new event. No refunds will be provided if the Event is postponed.
For the avoidance of doubt, You agree in no event shall PAEA be liable to You or any third party for any other costs, expenses, or damages, direct or indirect, consequential, punitive, incidental, special or general resulting from a postponement, cancellation, or termination.
Refunds for eligible cancellations (full or partial) will be processed within 30 days.
No-shows are not eligible for refunds.
Forum On-Demand Passes are not eligible for refunds.
Health and Safety Information
The health and safety of all those participating in PAEA in-person events is a paramount consideration for PAEA.
Masks are not required; however, attendees are welcome to wear masks if they choose.
No. All participants are encouraged (but not required) to be fully vaccinated against common communicable diseases, but proof of vaccination is not required.
Please do not attend the event if you are ill. In this case, it is recommended you isolate and obtain any needed medical testing or care.
