Remote Proctoring Checklists During Covid-19

PAEA will provide a list of pre-cleared remote proctoring services that are compatible with the ExamDriver system at the designated service levels, which our member programs may engage should institutional and program policies permit. Your institution may have additional academic policies for remote proctoring, which should be updated and incorporated with program policies. In addition to the PAEA Student Honor Code, the consequences for violating exam policies at the program level should be clearly defined and communicated to the student. This is when our partnership matters most. We encourage you to also review our FAQ on the waived proctor policies for End of Rotation™ exams to help you plan for remote administration. Visit the proctor resources page for all of our remote proctoring resources.

Note: PACKRAT® has always been available in a proctored or unproctored mode, onsite or remote, within a scheduled testing window.

Before you get started, here are some general tips:

  • Arrange for institutional IT staff to assist students with troubleshooting computer and connection problems, if necessary and available.
  • Ensure that students have the necessary equipment, including a laptop or desktop computer, camera for observation (if required), and high-speed internet. Ask students to find a quiet place where they will not be interrupted for the duration of the exam.
  • Clearly communicate the exam’s start and end times and whether any breaks will be allowed.
  • Provide full written instructions regarding the PAEA and program honor codes.
  • If proctoring yourself, plan to assign more proctors than usual. We recommend 4-10 students per proctor. This allows a proctor to effectively monitor and readily manage student issues.
  • Exchange cell phone numbers with students to communicate with them prior to and on exam day. This enables investigations and allows for quick and clear responses. Ask students to have their phones stowed nearby or in use for monitoring. Program the proctor’s phone number for easy recognition and respond promptly during the exam if calls or texts occur between the proctor and student.

Proctor Checklist

While proctoring policies have been temporarily amended due to COVID-19, we want to offer guidance to successfully complete your exam setup and proctoring. These are targeted for use with the End of Rotation exam. Proctors should use this checklist to setup exams with the pre-cleared proctor services or teleconferencing solutions listed. If there is no specific checkpoint in a column, the step is not required for the particular service.

Student Checklist

Proctors should provide this checklist to students so they are aware of the necessary elements before taking an exam with a proctor on a pre-cleared proctor service or teleconferencing solution listed. These are targeted for use with the End of Rotation exam. This guidance will help a student successfully complete their exam. If there is no specific checkpoint in a column, the step is not required for the particular service.
